Terms & Conditions
General
This is a legally binding contract between the property owners, Penny Orford and Suzy Orford, and the holidaymaker. The property owners are also referred to as “we” and “us”.
The holidaymaker is the person who signs the booking form or, in the case of online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The holidaymaker is also referred to as “you”.
The property referred to being Fig Tree and/or Laurel, The Granary, Ffordd Llyn Syberi, Eglwysbach, Colwyn Bay LL28 5SA.
Bookings & Payment
Deposit: A booking deposit of 25% of the total rental cost is payable within 3 days of the provisional booking being taken. The booking is taken on a provisional basis until the deposit has been paid in full and funds cleared. Until confirmed, the booking can be cancelled at any time without prior notice.
Balance: The balance of the rental charge is payable not less than 60 days prior to the start of the holiday.
Late Bookings: Bookings made less than 60 days prior to the arrival date must be paid in full at the time of booking.
VAT: All prices quoted include VAT where applicable.
Failure to Pay: Failure to pay the deposit or balance in full by the due dates will constitute a cancellation of the holiday by the holidaymaker.
Cancellation by the Holidaymaker
Cancellation of the booking by the holidaymaker should be made via email to bookings@conwyvalleygetaway.co.uk.
In the event of a cancellation, we will attempt to re-let the property.
If successful: You will be refunded all payments made, minus a £30 administration fee plus any difference in the value of the new booking compared to the rate charged to you.
If NOT successful (More than 8 weeks notice): If your dates cannot be rebooked but you cancelled more than 8 weeks prior to the check-in date, we will retain the deposit made at the time of booking.
If NOT successful (Less than 8 weeks notice): If your dates cannot be rebooked and you cancelled within 8 weeks of the check-in date, we will retain all payments made and you will be liable for any outstanding balance payment.
We strongly recommend you take out holiday cancellation insurance.
Cancellation by Us
The property owner will endeavour to make sure the booked property is available for the dates contracted. In the unlikely event the property becomes not available and the property owners have to cancel the booking, the holidaymaker shall be entitled to a full refund. The property owner shall only be liable to return the monies received. No compensation or consequential losses shall be paid.
Dogs
Up to two dogs are allowed in either Laurel or Fig Tree (up to four dogs across both) subject to the property owners’ agreement.
Cost: Must be booked and paid for in advance (£35 per dog, per stay).
House Rules: All dogs must be house trained. They must not be left unaccompanied in the property or garden at any time and must not be allowed on the beds or furniture.
Control: Dogs must be properly controlled and always supervised. Please note the property boundaries are not fully dog-proof (the driveway gate remains open).
Safety & Consideration: Other holidaymakers must not be inconvenienced. The property owners cannot be held responsible for any accident or injury to a dog during their stay.
Cleaning: The holidaymaker is liable for all damage caused by their dog. A charge will be made for any additional cleaning required inside.
Dog Mess: We kindly request that all dog mess is cleared. If this is not completed prior to departing, a £50 charge will apply to your booking.

Hot Tub Safety & Rules
Quick Summary

Availability on Arrival
The hot tub is emptied, sanitised and refilled prior to your check-in. As it takes several hours to reach optimum temperature, it may not be ready for immediate use upon your arrival. We appreciate your patience while it heats up for your first evening.
Hygiene & Water Quality
Shower First: All guests must shower before entering to remove fake tan, suntan lotions, sprays or skin creams. These substances block the filters and cloud the water.
Note: If the water requires draining and refilling during your stay due to contamination (e.g., from fake tan or glass), a charge will apply.
Daily Checks: The tub is treated with sanitising chemicals. We monitor water quality regularly (this only takes a few minutes a day).
Safety Rules
Temperature: Do not alter the temperature (set to 39°C).
Medical: Seek medical advice before entering if you are pregnant, have health problems or are immunosuppressed. Do not use the tub if you have open wounds.
Children: Children under six years of age are not permitted in the hot tub. All other children must be supervised at all times.
Alcohol & Food: Do not use the hot tub after a heavy meal or under the influence of alcohol or sedatives.
Usage Limits: It is recommended that you do not exceed 15 minutes of immersion at a time. Never use the hot tub alone.
- Quiet Hours: Please be mindful of noise levels between 10pm and 8am out of respect for other guests.
Glassware: No glass is permitted in or around the hot tub. Please use the plastic cups provided.
Electricals: No electrical gadgets or appliances are allowed in or around the tub.
Care of the Equipment
Lids: Do not sit, stand or lie on the plastic lid covering the filter or the thermal cover.
Damage: You will be held responsible for any damage to the tub or cover caused by misuse.
Liability
You use the hot tub at your own risk. Surfaces may be slippery when wet. Please take care; the property owners cannot be held responsible for your safety whilst you are using the facilities.
Swimming Pool Safety & Rules

Important Liability Notice
The swimming pool is unsupervised. There is no lifeguard on duty. Guests must exercise extreme care when using the facilities and swim entirely at their own risk. We have done all we can to make the pool safe, but we cannot be held responsible for your safety while using the facility.
Opening Times & Access
Hours: The pool is available 24/7, except for Friday mornings when it is closed for essential cleaning and maintenance.
Users: The pool is exclusively for the use of guests staying in Fig Tree and Laurel, and the property owners.
Security: The pool is accessed via a lockable door. For the safety of children, please do not prop open or block the door at any time.
Safety & Supervision
Children: Any guest under 16 must be supervised by a competent adult at all times.
Behaviour: No running near the pool and no diving (the depth does not allow for it).
- Quiet Hours: While the pool is available 24/7, please keep noise to a minimum between 10pm and 8am.
Alcohol: Never use the pool under the influence of alcohol.
Prohibited Items: The pool is a non-smoking area. No food, drink or glass is allowed in the pool building. No dogs are allowed in the pool area.
Hygiene & Care
Towels: Please use your own towels for the pool – do NOT use the bath towels provided in the cottage.
Infants: Infants and toddlers must wear aqua nappies.
Accidents: If a child has an accident, the pool must be evacuated and closed immediately. The debris must be removed and the owners informed straight away so we can treat the water.
Pool Cover: Please replace the cover immediately after use to help conserve heat and reduce humidity in the building.

EV Charging Policy
The Charging Point
Location: We provide a shared EV charge point located on the outside wall of the laundry room.
Spec: It is a tethered 7kw Type 2 charger powered by Voltshare. You do not need to provide your own cable.
Payment: Usage is charged at 45p per kWh + VAT. This is paid directly by the guest via the Voltshare app.
Domestic Chargers (“Granny Chargers”) are Forbidden
Strict Ban: For insurance and fire safety reasons, the use of domestic 3-pin trickle chargers (commonly known as “granny chargers”) running from a standard plug socket inside or outside the cottage is strictly prohibited.
Consequences: Use of a domestic charger invalidates our insurance and creates a significant fire hazard. If you are found using one, we reserve the right to cancel your booking immediately without refund and levy a charge for any potential damage to the electrical wiring.
Usage & Etiquette
Availability: The charger is shared between Fig Tree and Laurel. We do not guarantee availability at any specific time.
Moving Vehicles: Please move your vehicle to a standard parking bay as soon as charging is complete to allow other guests access.
Commercial Use: The charger is for domestic use only (guest vehicles). Charging of commercial heavy goods vehicles is not permitted.
Liability
Risk: Use of the EV charger is at your own risk. We do not accept liability for any damage to your vehicle resulting from the use of the charger (unless caused by our negligence).
Support: Any issues with the payment app or charging session should be directed to Voltshare support details listed on the unit.

Arrival & Departure
Check-in: Every effort will be made to have the property available from 4.00pm on the day of arrival. Information about keys will be provided a few days before your arrival.
Check-out: The property must be vacated by 10.00am on the day of departure. Late departure will result in an additional charge being made.
Your Stay (Occupancy & Usage)
Number of Guests: Under no circumstances may more than the maximum number of persons stated on the website occupy the property. Only those named on the booking form are entitled to stay. Exceeding this number is a breach of contract and the party will be asked to leave immediately without refund. Sub-letting is prohibited.
EV Charger: There is a shared EV charge point located on the outside wall of the laundry room (Tethered 7kw Type 2, powered by Voltshare). The cost is 45p kw/h + VAT, paid directly via the Voltshare app. Use of granny/trickle chargers is strictly forbidden.
WiFi: 4G WiFi is provided but there is no guarantee of a minimum speed, unrestricted bandwidth or uninterrupted provision. We cannot be held liable for any failure in access.
Hot Tub & Pool: Holidaymakers must follow the safety rules listed in the digital guest handbook (sent a few days before arrival). Use of these facilities is at the holidaymaker’s own risk.
Garden Pond: Please be aware there is a small ornamental pond in the garden; children must be supervised accordingly.
Care of the Property & Damages
Responsibility: You are responsible for the property and are expected to take all reasonable care of its furniture, fittings and effects. You must leave them in the same state of repair, and in a reasonably clean and tidy condition at the end of the rental period.
Conduct: You must not use the properties for any dangerous, offensive, noxious, noisy, illegal or immoral activities, or any act that may be a nuisance to the owner or neighbouring properties.
Smoking: Smoking, vaping and candles are not allowed in any of the properties. If smoking is detected, a cleaning charge will be levied.
Damages: Any accidental damage or breakages should be reported to us prior to departure. Any damages will have to be paid for in full within 7 days of notification.
Note: We reserve the right to charge for damage, though minor breakages and reasonable wear and tear will not be charged for.
Quiet Hours: To ensure all guests can enjoy a peaceful stay, we ask that you observe quiet hours between 10pm and 8am. During this time, please keep noise to a minimum, particularly when using outdoor facilities (hot tubs, patios, garden). We appreciate your consideration for other guests and our rural neighbours.
Liability & Access
Personal Property: Vehicles and possessions are left entirely at the risk of the holidaymaker. The owners take no responsibility for personal possessions.
Right of Entry: We reserve the right to enter the property at a reasonable time for emergencies or remedial work.
Right to Evict: We reserve the right to ask the party to leave without refund should behaviour be considered unreasonable, or to refuse entry to anyone we deem unsuitable to take charge of the property.
Complaints
Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, if things go wrong, it is the responsibility of the holidaymaker to make the problem known to the property owners immediately so we have the opportunity to rectify it. Unless this procedure is followed, no subsequent claim will be entertained.
Changes to the Property
We occasionally make improvements or updates to the cottages. Whilst every effort is made to keep descriptions accurate, minor changes may occur. Photos and descriptions are a guide only. The holidaymaker accepts that no refunds are available for such discrepancies.
